Administrative Assistant - $16.00/HOUR

A local non-profit organization needs an Administrative Assistant. The Administrative Assistant provides essential clerical, organizational, and operational support to ensure smooth daily operations and mission execution. Key duties include managing communications, scheduling meetings, maintaining donor/member databases, assisting with fundraising events, and handling basic bookkeeping. They often act as the initial point of contact for the organization.

 

Key Responsibilities & Duties

  • General Administration: Manage office correspondence, answer phones, greet visitors, manage calendars, order supplies, and maintain electronic/paper filing systems.
  • Database Management: Update and maintain donor records, membership information, and constituent databases, such as Salesforce, using systems like CRM software.
  • Support & Coordination: Provide support to the Executive Director and Board of Directors, including preparing meeting agendas, taking minutes, and coordinating travel.
  • Event & Program Support: Assist with logistical planning for fundraising events, community meetings, and workshops.
  • Financial & Reports: Handle basic bookkeeping tasks (invoicing, deposits, expense tracking), manage petty cash, and prepare reports for audits.
  • Communications: Draft correspondence, newsletters, and thank-you notes to donors.

 Required Skills & Qualifications

  • Organization: Strong organizational and multitasking skills to manage competing priorities in a fast-paced environment.
  • Communication: Excellent written and verbal communication skills.
  • Technical Proficiency: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and often Google Workspace or specialized donor software.
  • Education/Experience: High school diploma required; Bachelor’s degree and 2-5 years of administrative experience preferred.
  • Mission Alignment: Passion for the organization's mission and ability to maintain confidentiality.

 Common Qualifications

  • Experience: 1-3+ years in an administrative role, preferably within a non-profit setting.
  • Skills: Data entry, attention to detail, and ability to work independently or as part of a team.
  • Preferred: Familiarity with accounting software (e.g., QuickBooks) or graphic design tools (e.g., Canva) is often preferred.
