 Front Office Coordinator

PART TIME - Internal Opening at Express 

The Front Office Coordinator not only is considered the Director of First Impressions but also a proactive part of our recruiting process.  This position is the first contact that any person contacting an Express office has and, in most cases, is the foundation in which the person's overall impression of Express is based. This position primarily supports Employment Specialists in the administrative support of the recruiting process.

 We are willing to train, but qualified person must be upbeat, friendly, with great communication/customer service skills!

  • ·         Schedule: PART TIME in Libertyville Office.
  • o    Some flexible schedule options to choose from 8:00am-1:00pm, 8:30am-1:30pm or 9:00am-2:00pm Monday-Friday.
  • ·         The day to day consists of speaking with job seekers (on phone and in person), scheduling interviews, processing new hire paperwork, and collaborating with our recruitment team.

Responsibilities:

1.  Process Applications and Inquiries 

  • Create a professional first impression for all telephone, electronic and in person inquiries
  • Prescreen and qualify potential applicants from phone calls and reviewing online applications
  • Coordinate and set up interviews for Employment Specialists after completed thorough inquiry calls and prescreen questions.
  • Schedule and process associates to complete the onboarding process. Monitor Electronic Documents (E-Docs) to ensure associates being onboarded have completed properly before they come into the office

2. Administrative Support

  • ·         Increase office and team effectiveness through daily communication
  • ·         Post Job Descriptions provided by staff to Facebook, School and Chamber Websites, and the internal website when needed
  • ·         Administer and monitor Computer Testing (ESkills) as needed

Skills and Experience Required:

  • At least 1 year of previous Customer Service experience.
  • Bilingual – fluent in English and Spanish is strongly preferred
  • Experience and proficiency in dictation-this role requires listening and typing simultaneously.
  • Proficiency in MS Outlook, Word, Excel. Ability to learn proprietary system.
  • Must be able to work with a wide range of personalities in a courteous, effective, and professional manner.  Always customer service focused.
  • Ability to multi-task and switch gears quickly
  • Flexible to other tasks and projects with a 'can do' attitude.
