Warmly welcoming patients when they arrive.
Checking patients in for their appointments, verifying their personal and insurance information, and confirming appointment details.
Collecting co-pays, deductibles, and any other fees.
Answering phone calls, addressing inquiries, and scheduling appointments based on the provider’s availability.
Confirming appointments with patients and providing any necessary instructions (e.g., bringing documents or fasting for certain procedures).
Handling appointment cancellations and rescheduling when necessary.
Ensuring patient information is up to date in the system, including personal, medical, and insurance details.
Filing and organizing patient records in both physical and electronic formats, maintaining confidentiality and HIPAA compliance.
Verifying insurance coverage and eligibility for patients before their appointments.
Ensuring all required paperwork is completed for insurance purposes, including authorization or referrals when needed.
Preparing billing information and assisting with insurance claims processing, including follow-ups on unpaid or denied claims.
Communicating with doctors, nurses, and other medical staff to ensure timely patient care.
Providing patient information or test results as needed by the healthcare team.
Assisting in preparing patient charts and managing any paperwork for medical procedures or follow-ups.
Keeping the front desk area tidy and well-organized.
Ensuring that waiting rooms are stocked with necessary materials (e.g., brochures, forms) and are clean.
Monitoring the flow of patients, ensuring that the office remains organized, and minimizing wait times.
Responding to requests for medical records and following protocols for releasing information in accordance with privacy laws.
Providing necessary forms for patients to complete when requesting their medical records.
Keeping track of office supplies and placing orders for medical and office materials when needed.
Ensuring that the front desk and waiting areas are always stocked with necessary materials, like forms, brochures, and pamphlets. Handling Patient Complaints and Concerns:
Addressing any patient complaints or concerns with professionalism and empathy.
Referring more complex issues to the appropriate medical or administrative staff.
Following healthcare regulations and ensuring confidentiality of patient information in compliance with HIPAA.
Ensuring all forms and records meet the clinic’s regulatory standards.
Assisting with any general administrative tasks, such as making copies, sending faxes, or sorting mail.
Assisting in preparing reports for management or medical staff if required.
Requirements: Experience with Athena Bilingual (English & Spanish)
