A local property management office has an immediate opening for an individual who wants to build/continue developing a long-term career in Property Management and Real Estate. This is a full-time position. This company ensures that all properties managed are maintained and preserved for the long-term investment of our property owner clients and their tenants. This company manages a significant portfolio, which includes residential and commercial properties, homeowner associations, and mini storage facilities. This company continues to experience growth in the marketplace. The Office Coordinator position is a moderate to high demand position requiring multiple tasks to be managed simultaneously. Position Summary:
The Office Coordinator position greets customers in the office, answers phone calls, receives and responds to emails, and generally assists customers by answering questions and helping to resolve issues. This position also schedules appointments, performs administrative and clerical support tasks, assists with maintenance orders, performs basic typing, filing, recording keeping, and basic office cleaning tasks. This position handles all work orders, including coordinating with clients, tenants and vendors. The ideal candidate will have excellent organizational skills, strong communication skills, basic computer skills, attention to detail, and have a strong desire to provide excellent customer service. As the Office Coordinator, you will play a pivotal role in ensuring the best customer service is provided.
This is an office position but may also require some field work requiring a reliable vehicle, good driving record, and current insurance.
Key Responsibilities:
- Answer the phones and receive and tend to phone calls and emails from clients, homeowners, tenants, vendors, maintenance teams and others.
- Schedule appointments, copying, filing and light typing.
- Advertising rental properties through multiple media sources.
- Assisting in processing applications.
- Provide exceptional customer service by promptly addressing inquiries and concerns.
- Keeping a clean and welcoming reception area.
- Receive, review, and prioritize work orders from property owners, tenants, and management.
- Coordinate with maintenance teams and external vendors to schedule and allocate resources for repairs and maintenance tasks.
- Maintain accurate records of work orders, updates, and completion status in the property management software.
- Communicate effectively with property owners, tenants, and maintenance contractors/vendors regarding all issues and including providing updates on work order status and timelines.
- Monitor and track work order progress to ensure tasks are completed within established timeframes.
- Provide a positive experience for customers by always being helpful, friendly and addressing their needs and concerns as immediately as possible.
Qualifications:
- High school diploma or equivalent; relevant certifications or coursework in property management or related fields and property management experience a plus but not required.
- Having a Real Estate license is not mandatory; however, for long term growth in the Real Estate industry and your career, having a Real Estate license would be beneficial. The concept behind this will be discussed.
- Must have excellent customer service/people skills, excellent phone/communication skills, both written and verbal, and being punctual with required office hours. This position will be working with Property Owners (clients), Tenants (customers) and Vendors (coordinating property repairs, landscaping maintenance, etc.) on a daily basis.
- Moderate to high understanding of general home and property systems knowledge. Requires being detail minded, a problem solver and the ability to help troubleshoot property/dwelling repairs and maintenance on an immediate and/or long-term planning basis to maintain/preserve the property.
- Experience in coordinating and prioritizing work orders in property management, real estate, or related environment is a plus.
- Computer, writing and moderate office systems knowledge (emails, scanning, uploading documents to the cloud storage, and navigating through the property management software. Setting up work orders, following up and completing work orders and tasks, etc.). Property manager will train to use the property management software.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Ability to remain calm, composed, professional and friendly under pressure while addressing urgent situations.
PAY - The pay range given in this posting is based on experience and is just to start. The sooner the Office Coordinator role is learned and 100% managed/advanced by the Team Member, the sooner the pay will increase.

Pay: $20.00 - $22.00 per hour
Schedule:
- Monday to Friday 8:00 a.m. to 4:00 p.m.
