Our Tri-Cities client is hiring a full-time permanent Administrative Office Coordinator. The primary responsibilities include covering the front desk switchboard, welcoming visitors, and performing various administrative duties for the General Manager and for other departments.

 

Job Duties and Responsibilities:

· To manage reception area (take incoming calls/greet guests)

· Receive and distribute all incoming and outgoing mail and courier packages

· Vehicle management (manage PML loaner cars and maintain records of fleet vehicle mileage and oil changes)

· Reserve meeting rooms and organize catering

· Maintain photocopiers (order toner and schedule repairs as required)

· Ensure all outgoing customer invoices are sent out (mail or email)

· Keep the lobby, meeting room and kitchen clean and tidy.

· Scan Service Dept. invoices into system and file electronically

· Order and maintain copy paper, office supplies, coffee supplies, and all stationaries including business cards

· Assist Safety Dept. with administrative duties (photocopies/laminating/etc.)

· Book company travel for employees (flights and accommodations)

· Assist in preparation of project pre-qualifications

· Provide admin support to management team (letters, documentation, etc.) ?

· Manage ordering/reordering PML promotional materials (also assist in sourcing)

· Manage website administration (changes, job postings, etc.)

· Maintaining social media platforms (LinkedIn, etc.)

· Overdue account follow-up as required (email/phone calls)

· Other duties as required

 

Skills and Experience:

· Minimum of 2 years of administrative assistant/reception experience

· Excellent communication skills both written and oral

· Administrative experience within an industrial company a big plus

· Strong knowledge of social media, especially LinkedIn

· Proficiency with the MS Office Suite
