Our client company in Queen Anne''s County, MD is seeking an Executive/Human Resources Administrative Assistant.

 

The Executive Admin will support several Executives and be responsible for a broad range of duties, including preparing documents, spreadsheets, forms, and presentations, writing, and editing emails, drafting communication and reports, handling information requests, arranging conference calls, scheduling meetings, and coordinating luncheons and company events. This position will also support the Human Resources Manager with full-cycle recruiting and on-boarding of new employees, as well as other HR clerical responsibilities. This position requires extreme confidentiality, initiative, judgment, independent decision making, and the ability to multi-task and prioritize.

 

Duties and Responsibilities

 

  1. Executive Administration
    • Prepare documents, spreadsheets, forms, and presentations using Microsoft suite, including, Word, Excel, PowerPoint, as well as Adobe Acrobat and other software
    • Provide administrative assistance, such as writing and editing emails, drafting communications on the Executives behalf
    • Conduct market research, compile data, prepare reports and assist with special projects
    • Maintain comprehensive and accurate records
    • Make travel arrangements for Executives
    • Assist with expense reports
    • Maintain Executives calendars
    • Organize meetings, including scheduling and sending reminders, compile meeting minutes
    • Individual must be responsive, thoughtful, self-directed, positive, and ready for a challenge

 

  1. HR Responsibilities
  • Posting job ads; pre-screening candidates; moving qualified candidates forward to the Hiring Manager; coordination of phone and in-person interviews with candidates and Hiring Managers
  • Coordinating with recruiting agencies
  • Updating candidate records and job postings in ATS and confirming new hires in HRIS
  • Tracking recruiting activities and stats
  • Coordinating the post-interview debrief meetings and providing debrief materials
  • Administering pre-screening testing, required background checks, and reference checking
  • Responsible for onboarding, including entering new hire data in HRIS, initiating, and completing required new hire forms
    • Define and maintain position profiles
    • New hire and termination processing
    • Assist with the administration of employee benefits programs such as, health/dental/vision insurance, life and disability insurance, retirement plan, leave plans, etc.
    • Maintains and oversees employee enrollments, changes, and terminations in all plans
    • Oversees employee files and maintenance of employee records

 

Minimum Requirements

  • A minimum of 5 years’ experience
  • The ability to translate strategic initiatives into operational/tactical plans
  • Excellent interpersonal and written/oral communication skills
  • Flexibility in terms of changing priorities, requirements, and processes with ease
  • Diplomatic, sensitive, and adaptable to the needs of people
  • Relationship builder and team player, capable of carrying out business solutions, processes, and programs
  • Ability to perform data analysis and trending
  • Demonstrated experience using recruiting tools such as Glassdoor, Indeed, LinkedIn, ZipRecruiter and applicant tracking systems
  • Proven experience screening candidates and facilitating interviews
  • Sense of urgency with great listening and understanding skills
  • Outgoing and easily able to develop rapport with management, employees, and candidates
  • Demonstrated follow-up skills and must be dependable, organized, disciplined, and committed
  • Maintain strict confidentiality about employees, employment actions and HR departmental issues as well as business matters

 

Education and/or Experience

  • Associates Degree, plus 5 years business support related experience
  • Bachelor’s degree in Business, Communications Preferred
