Assistant/Receptionist Needed

We are a fast pace, growing retirement financial advisory firm that is located in Clearwater, Fl. We are looking for a team player who does not classify their job as one position and is willing to do it all! Problem solving and the ability to work quickly and on your own are expected. This is a full time position. 


    • Role is essentially our receptionist
    • Assist in data entry and scanning documents into Excel, make copies and file into appropriate filing systems
    • Manage CRM/database for daily inputting client information, updating tasks, and exporting calendars and various reports
    • Schedule internal/external meetings in Redtail
    • Schedule appointments for advisors in Redtail
    • Confirm appointments for advisors
    • Perform due diligence by researching prospect data prior to 1st appointments
    • Take inventory of supplies and order as needed, (including price comparative shopping to ensure costs are being managed effectively)
    • Change out restroom supplies and ensure client facing/public restroom is clean and presentable
    • Relay all phone messages to staff, documenting the message clearly and accurately
    • Answer all incoming phone calls and check voicemail frequently
    • Provide assistance to Marketing Director as needed
    • Provide assistance to President and Servicing Advisors as needed
    • File client data appropriately
    • Send client letters/documents as needed
    • Process incoming and outgoing mail
    • Assume responsibility for maintenance of office equipment, including printers, computers, copy machines, scanners, etc.
    • Answer incoming calls and assume other receptionist duties daily
    • Greet clients and welcome all who walk through the door; essentially the “chief of 1st impressions”
  • Financial Administrative Assistant Requirements
    • Bachelor’s degree with 2-3 years relevant job experience or 5-7+ years of relevant job experience with associate’s degree
    • Proficiency in Microsoft Word, and Excel
    • Detail orientated and comfortable working in a fast-paced, entrepreneurial environment with quickly changing priorities
    • Superior organization skills and dedication to completing projects in a timely manner
    • Skilled and managing UP to upper management, taking initiative first and not waiting for tasks to be delegated
    • Quick learner who can handle pressure
