Small business of 30+ Full-Time employees seek an office assistant to offer administrative support across the organization and coordinate all front-desk activities. The right candidate will have an upbeat positive personality that will make a professional first impression to all that call. To be successful in this position you should be able to deal with emergencies in a timely and effective manner and streamline office operations.

Responsibilities include

  • Meet and greet all guests, answer all phone calls and direct to appropriate staff
  • Maintain master schedule and make adjustments as needed
  • Communicate schedule changes to team leaders and office team and send confirmation and reminders to prospects and clients.
  • Schedule in home sales calls, business meetings, and events
  • Receive, sort and distribute mail and deliveries
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Assist candidates with application process

Back Office Duties:

  • Inventory of supplies and purchasing
  • Vehicle maintenance tracking and scheduling
  • Vehicle supple inventory and cleanliness checks
  • Ensure all supplies are clean and ready for use


  • Proven work experience ad receptionist or front office coordinator
  • Proficiency in MS Office
  • Solid written and verbal communication skills (Bilingual preferred)
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Minimum HS degree
