Job description:

We have a thriving independent real estate brokerage in need of an office manager/administrator. Due to the nature of real estate, the position involves a lot of taking initiative and problem solving. We are looking for someone who has a lot of ambition, can work independently and efficiently, and has administrative experience.

This role will provide administrative support to our real estate agents, monitor all communication with clients, and help to ensure smooth operations within the company.

 

Duties:

  • Hiring and firing administrative staff
  • Overseeing staff performance
  • Approving payroll submission for administrative staff
  • Monitoring task completion of agents
  • Coordinating with bookkeeper for agent compliance of maintaining e&o insurance and monthly payables
  • Vision for the company, being able to independently (through skill and experience) see the company’s next steps in growth and lead us in that direction
  • Observing weaknesses then creating systems to improve efficiency and client care
  • Building email campaigns for past clients, improving drip campaigns
  • Lead to client conversion. Nurture leads through email templates, texts and calls. Build relationships until they convert to client
  • New lead organization in CRM
  • Creating and fine tuning activity plans and automations on Follow Up Boss (CRM) and ensuring the team’s compliance with them
  • Set up/edit automated email searches on MLS
  • Respond to property inquiries from clients with MLS information
  • Checking on client's auto email notes, communicating with them about their needs, sending relevant tasks to agents
  • Enter CRM notes of MLS notes/communication 
  • Initial response greeting client in new group text
  • Monitor all group text communication - ensure no communication gets dropped
  • Monitor all email communication from clients/leads - ensure no communication gets dropped
  • Add signed buyer rep to client's CRM profile
  • Schedule showings as needed
  • New construction listing research
  • Store/organize builder contracts in Google Drive
  • Manage FB group
  • Ensuring posts are responded to by yourself or setting up a task for someone else
  • Post with each push notification to FB group
  • Answer any texts/emails/calls to the company line
  • Create builder review templates for scripts

 

Requirements:

Candidate must have management, administrative and residential real estate experience. Experience with residential new construction is a preference. Experience with Follow Up Boss is a preference as well. Candidates must have experience with other CRMs at the least.

This is an independent contractor position. Taxes will not be withheld. This is a remote position. There is room for this position to grow in responsibilities and payment. This is a non-licensed, admin only position. A Texas real estate license will not be required and the position will not engage in any activity for which a license is required. Hours will not be guaranteed due to the nature of real estate but 30-45 hours of work is expected each week.

Experience:

  • Management and administrative: 2 years (Required)
  • Residential real estate sales: 2 years (Required)
