Accounts Payable (AP) Administrator

We are seeking a skilled Accounts Payable (AP) Administrator for a manufacturing company in Ayer, MA. This role is responsible for managing the accounts payable process, including invoice processing, vendor payments, communication, and record security, while ensuring adherence to company policies and providing support for internal and external inquiries.

Responsibilities:

  • Completes the accounts payable cycle accurately and timely.
  • Processes vendor invoices, including organizing, coding, vouchering, and payments.
  • Manages cash flow by ensuring timely vendor payments and utilizing discounts.
  • Coordinates the payment approval process with management.
  • Handles payments through checks, ACHs, and wires.
  • Maintains professional vendor relationships and updates contact lists.
  • Adheres to company policies, schedules, and deadlines.
  • Provides data to internal and external customers upon request.
  • Manages AP mailboxes and tracks deposits and payments on POs.
  • Assists in preparing monthly accruals and reconciliations.
  • Manages employee expense reporting and provides support for online systems.
  • Communicates effectively with vendors to resolve issues.
  • Coordinates billing, repayment with affiliate companies, and reconciles intercompany balances.
  • Assists with vendor and customer correspondence regarding invoices and payments.
  • Secures sensitive cash transactions and enforces company policies.
  • Maximizes internal controls during payment and cash processes.
  • Reports any suspicion of wrongdoing or asset vulnerability to management.

Requirements:

  • High School Diploma or Equivalent required
  • Minimum of 3 years of experience in accounts payable or a related role
  • Proficiency in MS Office including Excel, Outlook, Word, and PowerPoint
  • Experience with QuickBooks Desktop preferred
  • Experience with Warehouse Management Systems (WMS) is preferred
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is preferred
