Overview: We are seeking a detail-oriented and organized Construction Office Coordinator for one of our clients. This role is crucial in supporting our client's construction projects by managing administrative tasks, coordinating communication, and ensuring the smooth operation of our office. The ideal candidate will have strong organizational skills, proficiency in construction management software (specifically ProCore), and a proactive approach to problem-solving.

 

Responsibilities:

  • Database Management:

    • Update and maintain project databases with accurate and current information.
    • Ensure all project documentation, including contracts, permits, and specifications, are properly recorded and organized.
  • Bid Invitation Coordination:

    • Prepare bid packages and invitations for subcontractors and vendors.
    • Distribute bid invitations through ProCore and track responses.
    • Assist in the evaluation and selection process of subcontractors.
  • Communication and Coordination:

    • Act as a central point of contact for project-related communications.
    • Facilitate communication between project managers, subcontractors, and suppliers.
    • Coordinate meetings, conference calls, and appointments as needed.
  • ProCore Assistance:

    • Support project teams in navigating and utilizing ProCore effectively.
    • Assist in setting up projects, uploading documents, and maintaining project logs.
    • Generate reports and analyze data within ProCore to support decision-making.
  • Administrative Support:

    • Prepare and distribute project correspondence, reports, and presentations.
    • Manage office supplies, equipment, and facilities maintenance.
    • Handle incoming and outgoing mail, emails, and phone calls.
  • Documentation and Filing:

    • Maintain organized filing systems for both electronic and hard copy documents.
    • Ensure compliance with company policies and procedures for document control.

Requirements:

  • Proven experience as an office coordinator, administrative assistant, or similar role in the construction industry.
  • Proficiency in construction management software, particularly ProCore.
  • Strong organizational and multitasking skills with the ability to prioritize tasks.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Familiarity with construction terminology, processes, and documentation.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications:

  • Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field.
  • Certification in ProCore or other construction management software.
