Position: Bid Coordinator

Full time, Non Exempt, Monday – Friday

Compensation Range, DOE: $25-$29/hour

Job Summary:

Bid Coordinator plays a critical role in securing new construction projects by producing high-quality, competitive bid proposals. This position requires strong organizational skills, a deep understanding of the construction industry, and the ability to work collaboratively with various stakeholders. The Bid Coordinator is responsible for managing multiple bids concurrently, ensuring that each proposal is comprehensive and submitted on time. Additionally, the role involves ensuring the estimating team has all the necessary information and documentation required for accurate and competitive bid preparation. 

Key Responsibilities:

  1. Bid Management:
    • Coordinate the end-to-end bid process for construction projects, ensuring timely and accurate submission of proposals.
    • Develop and maintain a bid schedule, tracking deadlines and ensuring all milestones are met.
  2. Document Preparation:
    • Prepare, format, and compile bid documents, including Request for Proposal (RFP) responses, quotations, tenders, and other related documents.
    • Ensure all bid documents are compliant with client specifications and internal standards.
  3. Collaboration and Communication:
    • Work closely with internal teams, including project managers, estimators, engineers, and procurement, to gather necessary information for bid proposals.
    • Communicate effectively with external stakeholders, such as clients, subcontractors, and suppliers, to obtain required bid information.
  4. Research and Analysis:
    • Conduct research on potential projects, clients, and competitors to support bid strategies.
    • Analyze RFPs and other bid documents to identify key requirements and evaluation criteria.
  5. Content Management:
    • Develop and maintain a library of standard bid responses, templates, and supporting documents.
    • Ensure all bid-related content is up-to-date and accurately reflects the company’s construction capabilities and experience.
  6. Quality Assurance:
    • Review and edit bid documents for clarity, accuracy, and consistency.
    • Ensure that all submissions meet the highest standards of quality and professionalism.
  7. Compliance and Risk Management:
    • Ensure all bids comply with legal, regulatory, and contractual requirements.
    • Identify and assess potential risks associated with bid submissions and recommend mitigation strategies.
  8. Reporting and Feedback:
    • Track and report on the status and outcomes of bid submissions.
    • Gather feedback on submitted bids and use this information to improve future proposals.

Required Skills and Qualifications:

  • Education and Experience:
    • Previous experience in bid coordination, proposal writing, or a similar role within the construction industry is preferred.
  • Construction Knowledge:
    • Understanding of construction processes, terminology, and industry standards
    • Familiarity with construction contracts, and procurement processes
  • Communication Skills:
    • Excellent written and verbal communication skills.
    • Strong attention to detail and the ability to articulate complex information clearly and concisely.
  • Project Management:
    • Strong organizational and time management skills.
    • Ability to manage multiple bids simultaneously and meet tight deadlines.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
    • Familiarity with construction project management software and document management systems is an advantage.(GrindonPro a plus)
  • Interpersonal Skills:
    • Strong team player with the ability to collaborate effectively with colleagues across various departments.
    • Ability to build and maintain positive relationships with internal and external stakeholders.

Work Environment:

  • Office-based role with occasional visits to construction sites or client meetings.
  • May require extended hours to meet bid deadlines, especially during peak periods.
