We are currently seeking a highly organized and proactive Office Manager Assistant to support the daily operations and ensure a smooth and efficient work environment for our Client Company in the Medford, OR area.

 

Job Summary: The Office Manager Assistant will support the Office Manager in overseeing the daily operations of the office. This role involves a variety of administrative and clerical tasks, requiring excellent organizational and communication skills, and the ability to multitask effectively. The ideal candidate is detail-oriented, professional, and capable of working collaboratively with various departments.

 

Key Responsibilities:

  • Assist the Office Manager in planning and coordinating office operations and procedures.
  • Manage incoming and outgoing correspondence, including emails, phone calls, mail, bank reconciliations, and rents collected.
  • Maintain office supplies inventory and place orders when necessary.
  • Organize and schedule meetings, appointments, and travel arrangements.
  • Prepare and edit documents, reports, and presentations.
  • Coordinate office maintenance and repairs with relevant vendors.
  • Support the onboarding process for new employees, including setting up workstations and providing necessary materials.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Assist in organizing company events, meetings, and conferences.
  • Perform general clerical duties such as filing, photocopying, and scanning.
  • Provide administrative support to other departments as needed.

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Proven experience as an office assistant or in a similar administrative role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), QuickBooks, Google Docs, and office management software.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Professional demeanor and appearance.

Preferred Qualifications:

  • Previous experience in office management or administration.
  • Familiarity with basic accounting and bookkeeping principles.
  • Knowledge of office equipment and troubleshooting.
