An Edmonton client is seeking a Time + Billing Coordinator to join their team.

 

Time + Billing Coordinator Highlights:

 

·         We are seeking a dedicated Time & Billing Administrator to join our team. The ideal candidate will have experience in industrial construction administration, a strong understanding of collective agreements, and excellent organizational skills.

·         Personnel / Payroll:

·         Identify and resolve any Time & Billing and Payroll errors, including missed time and incorrect rates.

·         Receive and process job site expense reports.

·         Create weekly payroll summaries and handle paperwork for new hires, rate changes, dispatches, and transfers.

·         Process terminations by respective Collective Agreements.

·         As required, maintain accurate and up-to-date documentation for all Unions, including absenteeism reports, termination reports, and other relevant documents.

·         Support Time & Billing staff and onsite Foremen, ensuring accurate and updated employee information.

·         Project Managers / Billing:

·         Create and forward daily electronic LEMs (labor, equipment, material) to Project Managers, Foremen, and Clients for accuracy and consistency.

·         Compile LEM summaries and invoicing packages on a scheduled basis.

·         Ensure that all billable invoices are received and included on the LEMs.

·         Communicate regularly with project managers to ensure they receive signed LEMs from clients before the end of the month.

·         General Duties:

·         Utilize company software programs effectively and efficiently.

·         Set up new jobs in the Time & Billing database, ensuring all setups are correct and information flow is established.

·         Enter timesheets into the database daily and manage required filing.

·         Identify process improvements to increase efficiency and reduce costs.

·         Provide cross-training on Time & Billing functions and assist other related companies/divisions as needed.

·         Requirements:

·         Experience in industrial construction, preferably administration, coordination, time entry, or payroll.

·         Familiarity with collective agreements and their application in day-to-day transactions.

·         Strong analytical, leadership, and problem-solving skills.

·         Excellent planning and organizational skills to balance and prioritize work.

·         Ability to work as part of a team and independently, with the flexibility to travel or work weekends as needed.

·         High standards for accuracy and attention to detail, with a strong work ethic and self-motivation.
