Administrative Assistant

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.  Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, email, schedule appointments, maintain office calendar and generally being a helpful positive presence in the workplace.

To be successful as an Administrative Assistant, candidates should be professional, polite and attentive while also being accurate.  They should always be prepared and responsive, willing to meet each challenge directly.  Must be comfortable with computers, general office tasks and excel at both verbal and written communication.  Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others.

Responsibilities:

  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Maintain client and other contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Maintain filing of client documents
  • Greet and assist visitors to the office
  • Order office supplies
  • Provide information by answering questions and requests
  • Handle multiple projects
  • Ensure operations of equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Contribute to team effort by accomplishing related results as needed
  • Carry out administrative duties such as filing, typing, copying scanning etc.
  • Write letters, emails on behalf of other office staff
  • Book Zoom calls
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Coordinate office procedures
  • Reply to email, telephone or face to face inquires
  • Develop and update administrative systems to make them more efficient
  • Resolve administrative problems
  • Manage staff appointments
  • Coordinate repairs to office equipment
  • Photocopy and print out documents on behalf of other colleagues

Requirements:

  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office 365 applications
  • At least 5 years of experience in the field or in a related area
  • High school diploma or equivalent, college degree preferred

This is a part-time position, 28-30 hours a week, with flexible hours! 

Pay DOE $18-$20/hr.
