We are seeking an experienced and detail-oriented individual to join our team as a Water and HVAC Dispatcher. In this role, you will be responsible for coordinating service calls for both water and HVAC systems, utilizing the FieldEdge software platform. However, experience with similar dispatching software such as ServiceTitan or Sera will also be considered. The ideal candidate will have a minimum of 5 years of dispatching experience in the HVAC or related industry, with a strong focus on customer service, efficiency, and problem-solving. Responsibilities:

  • Receive service requests from customers via phone, email, or online portals, and enter them into the FieldEdge system.
  • Schedule service appointments and dispatch technicians based on availability, location, and skill set.
  • Communicate with technicians to provide job details, directions, and updates on service requests.
  • Monitor technician schedules and adjust assignments as needed to accommodate urgent requests or changes in priority.
  • Utilize FieldEdge or similar software to track technician locations, job status, and completion times.
  • Serve as the primary point of contact for customers regarding service inquiries, scheduling, and updates.
  • Provide timely and professional responses to customer inquiries, resolving issues and addressing concerns as needed.
  • Keep customers informed of technician arrival times, delays, and any changes to the service plan.
  • Follow up with customers after service calls to ensure satisfaction and gather feedback on their experience.
  • Assist with the creation and processing of work orders, service agreements, and billing invoices using FieldEdge or similar software.
  • Coordinate with suppliers and vendors to order necessary parts and equipment for service jobs.
  • Maintain inventory records and track the availability of parts and materials needed for upcoming service calls.
  • Generate reports on technician performance, service trends, and customer satisfaction metrics.
  • Collaborate with the service manager, dispatch team, and technicians to optimize scheduling and workflow.
  • Communicate effectively with team members to address issues, share information, and coordinate resources.
  • Participate in team meetings, training sessions, and continuous improvement initiatives to enhance departmental efficiency and effectiveness.

Qualifications:

  • High school diploma or equivalent required; associate degree or relevant certification preferred.
  • Minimum of 5 years of dispatching experience in the HVAC or related industry, preferably using FieldEdge, Service Titan, or similar software.
  • Strong communication skills, both verbal and written, with a customer-focused attitude.
  • Excellent organizational and multitasking abilities, with the capacity to prioritize tasks in a dynamic environment.
  • Proficiency in computer software applications, including dispatching systems, Microsoft Office suite, and email.
  • Ability to remain calm under pressure and make sound decisions in emergency situations.
