Salary: 18-$22/HR

Hours: Monday-Friday 7:30am-4:30pm

Pay: $18-$22/HR

Duties:

  • Perform various administrative duties as assigned, ensuring confidentiality in all aspects of client and staff information.
  • Adhere to conduct and performance standards in all duties performed.
  • Assist assigned officer(s) in day-to-day activities, prioritizing workload to meet client and Administrative Officer’s requirements.
  • Monitor accounts for overdrafts, daily transactional activity, and bill paying.
  • Coordinate incoming and outgoing correspondence, including mailing client statements and tax information.
  • Assist with opening and closing accounts, gathering necessary information and completing documentation.
  • Respond to client, prospect, and center of influence inquiries and requests, and refer them to the appropriate individual when necessary.
  • Compile data and prepare internal reports, records, and forms.
  • Schedule and confirm appointments for assigned officer(s).
  • Assist with processing discretionary requests and other distributions and receipts as requested by the client.
  • Make travel arrangements when necessary.
  • Maintain an electronic client filing system for organization and swift retrieval of information.
  • Monitor and complete initial and annual administrative account reviews on a timely basis.
  • Maintain effective communication with assigned officer(s) and other internal departments.
  • Provide backup support to other Client Representatives as needed.
  • Participate in training sessions to enhance skills and knowledge.

Qualifications:

  • Knowledge of organization, planning, records management, and general administration principles and practices.
  • General knowledge of various types of investment accounts and trust industry terms.
  • 1-3 years of experience in the financial industry.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to develop strong working relationships with third parties.
  • Customer service-oriented mindset.
