Salary: $25 - $26 per hour DOE

A well-regarded & established construction company is seeking an experienced Operations Assistant to join their team. This is a great temp to hire opportunity with a company that values employee growth and retention. This position will directly support the Commercial Mechanical Vice President.

Pay: $25 - $26 per hour DOE

Schedule: Monday - Friday, 8am - 5pm

Temp to hire. Fully onsite (no opportunity for remote)

Summary:


The Operations Assistant provides high-level administrative support to the Commercial Mechanical Vice President and will act as the point of contact among the VP, management, employees, customers, and other external partners. This Position also supports other executives and leadership when needed. This person will manage information flow in a timely and accurate manner. This position is FLSA Non-Exempt and reports directly to the Vice President.

What You Will Be Doing:
• Administrative support for the company’s Vice President
• Manages Vice President’s schedule and acts as liaison
• Prepares information and research, including meeting minutes & note-taking
• Creating PowerPoint presentations
• Formatting documents
• Assisting with the preparation of estimating database using historical data
• Organizing School of Construction
• Handles confidential information such as executive reports; organizes and maintains files
• Manages correspondence, signatures & authorization requests
• Manages expense reimbursement process, reconciles corporate credit card & receipts
• Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed
• Plans/organizes and implements events such as training, meetings, business luncheons, or customer dinners
• Other tasks as requested

Desired Skills & Experience:


Education/Experience:
• Bachelor’s degree in business administration or a related field is preferred
• Minimum five years prior experience in senior to executive-level administrative support
• Must have a valid driver's license


Technical Expertise:
• Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Excel, and Outlook); scheduling appointments/updating calendars a must
• Competent knowledge using Access, Publisher, and Visio. Experience using Bluebeam preferred
• Advanced skills using Adobe Acrobat Professional and photo editing revision software
