OFFICE MANAGER!!!!!!!!!!

  • M-F, 8am to 5pm

OFFICE MANAGER DUTIES:

  • Handle invoicing customers accurately and promptly.
  • Manage accounts receivable, including tracking payments and following up on overdue accounts.
  • Process incoming invoices from vendors, ensuring accuracy and timeliness.
  • Oversee accounts payable, including processing payments to vendors and reconciling statements.
  • Prepare financial reports such as profit and loss statements, balance sheets, and cash flow statements.
  • Conduct financial analysis to identify trends, opportunities for cost savings, and areas for improvement.
  • Assist in budget preparation and variance analysis to ensure financial goals are met.
  • Oversee inventory management, including receiving, stocking, and tracking inventory levels.
  • Conduct regular inventory audits to maintain accuracy and identify discrepancies.
  • Coordinate with purchasing department to ensure adequate stock levels while minimizing excess inventory.
  • Process payroll accurately and on time, ensuring compliance with all relevant regulations.
  • Handle payroll tax filings and reporting requirements.
  • Address employee inquiries regarding payroll and benefits.
  • Manage day-to-day office operations, including scheduling, filing, and maintaining office supplies.
  • Supervise administrative staff and delegate tasks as needed.
  • Implement and maintain office policies and procedures to ensure efficiency and compliance.
  • Serve as a point of contact for customer inquiries and concerns, providing excellent customer service.
  • Maintain positive relationships with vendors and negotiate favorable terms and pricing.
  • Handle any issues or disputes with customers or vendors in a professional and timely manner.

OFFICE MANAGER QUALIFICATIONS:

  • A bachelor''s degree in business administration, management, accounting, or a related field is often preferred. However, relevant work experience may sometimes be accepted in place of formal education.
  • Previous experience in office management, administrative roles, or related fields is typically required. The exact amount of experience varies depending on the employer and the specific requirements of the position, but 2-5 years of relevant experience is common.
  • Strong organizational and multitasking abilities are essential. The Office Manager should be proficient in handling various accounting. administrative tasks such as scheduling appointments, managing files and records, and coordinating office operations.
