JOB SUMMARY: 

The Procurement Assistant provides administrative support for the Procurement Department through coordinating logistics, verifying purchase orders, securing accurate certificate of analysis (COA) prior to material arriving at Deveraux Specialties, and processing reports. Seeks ways to avoid delays, reduce costs and improve service from our shipping logistics companies. Must demonstrate problem-solving, analytical, computer, communication, and negotiation skills. Self-motivator with an attention to detail who demonstrates the ability to interact with logistics companies, office staff, and warehouse staff.  

Job Duties

  •  Coordinate logistics on Purchase Orders that are ready to ship as directed by the Procurement Agents.
  • Request shipping quotes from multiple logistic companies to secure the most favorable, cost-efficient rates and shipping times based on customer needs and deadlines.
  • Once Procurement Agent approves shipping quote, secure shipping by emailing the logistics company or enter the request in their online portal.
  • Gather shipping documents as provided by the Procurement Agent to create and maintain inbound shipping folders on Microsoft Teams. Attach all related receiving documents including COA’s to purchase order in Chempax prior to the shipment arriving at Deveraux.
  • Create shipping labels.
  • Verify accuracy of Certificate of Analysis’ per Purchase Order. This involves verifying lot numbers, expiration dates, and product name. Notify Procurement Agent of any discrepancies. This needs to be done prior to the material arriving at Deveraux so the Receiving Department can receive the material in Chempax without delay.
  • Assist with shipping status reports by checking portals and using tracking information. Notify Procurement Agent when a shipping date changes.
  • Review shipping status report at the end of each week and notify Procurement Agent of any shipments that didn’t arrive as expected.
  • Run the Purchase Orders Due Report and update to Teams.

 Job Location and Schedule

  • Main office, Sylmar, California. This position is not eligible for remote/off-site location.
  • Full-time, scheduled Monday – Friday.
