The Medical Assistant positions is responsible for providing professional care to the patients under the supervision of the provider. Assists provider(s) in coordinating patient care. Functions as the primary liaison between patients and provider.

Essential Duties

  • Rooms patient and prepares patient for provider.
  • Receives and returns all telephone calls in a courteous, professional, and timely manner.
  • Gathers all written information, documents patient symptoms, and relays message to appropriate provider(s).
  • Preps patient chart notes for provider’s future patient appointments.
  • Manages Medication prior authorizations.

Job Duties

  • Screens patients for same day appointments, recording vital signs, current medication list, and chief complaint.
  • Ensures confidentiality and compliance with healthcare regulations, including HIPAA.
  • Handles phone calls for patients calling in with medical concerns. Documents all calls in respective patient charts, verifies the phone number and pharmacy preference.
  • Ensures patient charts contain all current pertinent information within EHR and are placed in designated areas for the provider’s use.
  • Maintains exam rooms with necessary supplies and materials.
  • Prepares list of medical supplies needed and gives order requests to Practice Manager.
  • Ensures rooms and equipment are kept clean; maintains laboratory equipment when necessary.
  • Prepares equipment and aids providers during treatment, examinations, and testing of patients.
  • Greets patients and prepares them for physician examination.
  • Screens patients for appropriate information.
  • Instructs patients in the collection of samples and test.
  • Maintains/reviews patient records, charts, and other pertinent information.
  • Records tests and examination results in the patient’s chart.
  • Verifies prior approval before referring to Immediate Care, Urgent Care, or Emergency Room, unless life-threatening issue.
  • Orders immunizations as needed following standing orders.
  • Assists with surgeries and office procedures as needed, dresses wounds, and provides other patient care; handles lab specimens and conducts approved in-office testing.
  • Instructs patient and family regarding medications and treatment instructions.
  • Ensures all medications are filled or refilled as instructed by the provider per medication protocol.
  • Promotes a positive and professional company image when communicating with co-workers, providers, patients, outside health providers, and the public.
  • Administers medications, immunizations, etc. as directed by MD, PA, or NP staff.
  • Maintains punctual, regular and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Respectfully takes direction from leadership.
  • Meets all required training including those listed in Relias Learning Module Systems (LMS).
  • Performs other duties as assigned.

Education & Experience

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • 1-2 years’ experience working in a medical office, preferred.

Certificates, Licenses and/or Registrations

  • Current BLS Certification (or willing to be certified within 90 days of hire).
  • Current Medical Assistant Certification, preferred.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Computer Skills

Has advanced basic computer job skills including logging on to systems, ability to communicate by email, ability to compose documents, enter database information, create presentations, download forms, and preserve/backup important data.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands & Work Environment

The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel and reach with hands and arms. The noise level in the work environment is usually moderate.
