The Customer Care Receptionist is responsible for being the first point of contact for AllCare Health, managing front office reception and administration tasks by performing the following duties.

 

Essential Duties

  • Welcomes guests positively as soon as they arrive at the office.
  • Answers, screens and forwards phone calls to specific departments and staff.
  • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Ensures reception area is tidy and presentable.

  • Ensures reception area is tidy and presentable.
  • Directs visitors to the appropriate person and office.
  • Accepts member payment.
  • Executes administrative tasks across the organization to the highest quality standards.
  • Operates computer, phone, copier, office machines, as needed.
  • Provides basic and accurate information in-person and via phone/email.
  • Coordinates front desk activities, including distributing correspondence.
  • Maintains professional composure throughout interactions.
  • Assists with problem-solving and gracefully assists unhappy customers.
  • Create and maintain an atmosphere of warmth, calmness, and positivity.
  • Ensures safety and security protocols are adhered to/for main lobby.
  • Knows protocols for alerting all staff and emergency services as needed in emergency situations.
  • Assist in emergency response/evacuation.
  • Maintains punctual, regular, and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Respectfully takes direction from leadership.
  • Meets all required training including those listed in Relias Learning Module System (LMS).
  • Other duties as assigned.

Education & Experience

  • High school diploma or general education degree (GED); or one to three months related experience.

Language Skill

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Computer Skills

Has basic computer job skills including logging on to systems, ability to communicate by email, and download forms.

 

Reasoning Ability

Ability to apply commons sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

 

Interpersonal Skill

  • Patience and listening skills to respond appropriate and interact positively with upset customers.
