Overview:
We are seeking a highly skilled, detail oriented and professional Executive Support Officer to provide comprehensive administrative support to our COO and CCO while also championing excellence in both internal and external client experience.

The ideal candidate will provide high-level administrative support to executives, help in problem solving, ensure management operations run smoothly, fostering strong client relationships and manage multiple priorities in fast paced environment. Additionally a strong Marketing and Event Planning is required.

Duties:

Administrative Duties

- Manage complex calendars, schedule meetings, coordinate meetings for the COO and CCO.
- Prepare and edit presentations, correspondence, reports and other documents.
- Organize and maintain electronic and physical files, ensuring accuracy.
- Screen and prioritize incoming calls and emails.
- Arrange travel accommodations, transportation and itineraries for the COO and CCO, ensuring cost and logical efficiency.
- Process expense reports, reconcile receipts and track expense against budget allocations.
- Assist with budget planning and monitoring for COO and CCO.

Data Management and Analysis

-Run reports, analyze data and prepare productivity charts and performance metrics.

-Monitor key performance indicators and regular updates for COO and CCO.

- Conduct research and gather information to support strategic decision making.

Marketing and Sales Support

- Assist with marketing efforts, including event planning and coordination, attending industry events for collateral development.

- Travel to USA and within Canada to do presentations with large events.

- Support creation of Requests for Proposals and other sales materials.

- Collaborate with sales team to manage client relationships and facilitate sales process.

Other Duties

-Provide admin support and maintain confidentiality in handling sensitive information.

Qualifications:
- Proven experience as executive assistant or equivalent degree preferred.

-Marketing and Event Planning experience
- Strong organizational skills with the ability to multitask
- Excellent communication and interpersonal abilities
- Knowledge of MS Office Suite(Word, Excel, Powerpoint, Outlook)
- Ability to type accurately and quickly
-Experience in marketing and sales support, data analysis and management.
- Willingness to travel occasionally for events.

Job Type: Full-time

Pay: $75,000.00-$80,000.00 per year
