Salary: $18 - $24/hr

Our client is a well-established CPA firm looking to expand our team of professionals. We are currently seeking an energetic individual to facilitate the efficient operation of the firm by performing a variety of clerical, administrative and bookkeeping tasks.  Professional services experience is preferred but not required. 

  • Answers and transfers phone calls, screening when necessary
  • Welcomes visitors and clients to deliver an amazing client experience
  • Prepares itemized statements, bills, invoices, and other necessary billing documents, verifying accuracy, correcting any errors
  • Process client deliverables such as tax returns and financial statements
  • Performs general bookkeeping work
  • Maintains filing systems
  • Retrieves information from files, email, and other related documents as requested by team members
  • Responds to and resolves administrative inquiries and requests for help
  • Coordinates and schedules meetings and appointments for firm
  • Maintains office supplies and coordinates maintenance of office equipment
  • Contacts clients to obtain, verify, and update account information when necessary
  • Receive and process mail daily, generating shipping labels as needed
  • Process payments via online banking and posts payments to customer accounts related to accounts receivable
  • Database management including adding new clients to the system, recording address changes and purging inactive records
  • Generates monthly financial summary sheets for the partner group
  • Process internal employee expense reports for reimbursement
  • Creates reports regarding the current status of client accounts as requested
  • Assist with collections by researching client discrepancies and past-due amounts
  • Copies, files, and retrieves materials for accounts receivable as needed
  • Performs other related duties, as assigned

  • Ability to work independently on assigned tasks and accept direction on assignments
  • Ability to work effectively with staff members and clients fully aligned with the firm’s values.
  • Proficient in Microsoft Office
  • Must be reliable and trustworthy

EDUCATION/EXPERIENCE

  • Associate’s degree required; Bachelor’s degree in related field preferred
  • Minimum of 3-5 years of experience in an administrative role; professional services a plus
  • Experience with QuickBooks, Software a plus but not required
