Administrative Assistant - Bilingual

Job Summary: The Dealer Support role is a critical administrative position responsible for managing various tasks essential to daily operations. This role demands excellent attention to detail, effective communication, and precise documentation handling, particularly concerning inbound and outbound shipments.

Pay: $18 to $22/Hr DOE

Hours: Mon - Fri 8:00 AM - 5:00 PM

Responsibilities:

  1. Inbound Shipment Processing:
    • Review inbound shipment packing lists against internal receiving documents to identify discrepancies.
    • Apply pricing and references to items received.
  2. Brokerage Transaction Handling:
    • Create comprehensive brokerage transactions based on information received via email from vendors, ensuring accurate and detailed documentation.
  3. Consolidation and Reconciliation:
    • Consolidate and reconcile mixed dealer loads meticulously, ensuring accuracy in weights and grading.
    • Compose data efficiently for settlement discussions with buyers, working closely to resolve discrepancies for prompt supplier payment.
    • Finalize settlement tickets in the ERP system and collaborate with the settlement team for prompt remittances to suppliers.
  4. Visitor Management:
    • Greet visitors and provide necessary help while ensuring a welcoming environment.
  5. Communication and Coordination:
    • Maintain consistent communication with the commercial team and senior warehouse staff.
    • Utilize phone, email, text, and chat apps for communication with customers, vendors, and internal staff.
    • Manage email correspondence, ensuring accurate and prompt communication, including specific requirements for certain export customers.
  6. Administrative Support Tasks:
    • Answer incoming calls promptly and efficiently distribute messages within the team.
    • Assist with filing needs, transitioning to digital formats.
    • Maintain records and photo documentation for brokerage shipments based on vendor-provided information.
    • Update relevant information for smooth handling of operational workflows.
  7. Miscellaneous Tasks:
    • Perform assigned tasks contributing to operational efficiency.

Required Skills/Software Knowledge:

  1. Strong organizational skills for multitasking and progress tracking.
  2. Sense of urgency in completing tasks for prompt supplier payment.
  3. Ability to collaborate effectively within a team-oriented environment.
  4. Proficiency in Microsoft Office applications (Teams, Excel, Word, Outlook).

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.
