An Edmonton client is searching for an Executive Assistant to join their team.

Executive Assistant Highlights:

·         As an Executive Assistant, you will play a crucial role in providing comprehensive support to the CEO/Senior Corporate Advisor and facilitating the smooth operation of daily tasks and responsibilities. Your organizational skills, attention to detail, and professionalism will be essential in managing various administrative duties and supporting the overall efficiency of the company.

·         Manage appointments, schedule meetings, and maintain the calendar for the CEO/Senior Corporate Advisor.

·         Compile, edit, and format emails, files, and documents as required, ensuring accuracy and clarity.

·         Maintain records of expenses in a timely manner, tracking and organizing financial transactions.

·         Provide support and assistance in the development and maintenance of the company's website, marketing, branding, and promotional products.

·         Assist the Events Manager with administrative duties related to event planning and coordination.

·         Support reception staff by greeting visitors and clients, answering and transferring phone calls, and responding to emails.

·         Respond to routine inquiries and provide information to internal and external stakeholders.

·         Update and maintain databases, including mailing lists, contact lists, and client information.

·         Provide administrative support to advisors, including assisting with new client onboarding and managing documents.

·         Complete and process insurance documents, ensuring accuracy and compliance with industry regulations.

·         Professionally represent advisors to clients, business partners, and the community, maintaining a positive and professional image.

·         Adhere to the highest level of integrity, ethical conduct, and industry compliance regulations.

·         Perform other duties and responsibilities as assigned by management.

·         Qualifications:

·         Bachelor’s degree in business administration or related field.

·         Minimum of 5 years of experience as an Executive Assistant, preferably in a corporate setting.

·         Experience in the insurance or banking industries would be advantageous.

·         Proficiency in Microsoft Office 365, including Outlook, Word, Excel, and PowerPoint.

·         Knowledge of booking and accounting software systems.

·         Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.

·         Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.

·         Attention to detail and accuracy in all tasks and responsibilities.

·         Ability to work independently and as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.

·         Commitment to maintaining confidentiality and handling sensitive information with discretion.

·         Willingness to learn and adapt to new technologies and processes as needed.

·         8:00 am – 5:00 pm – Monday to Friday

·         $50,000 – $65,000/year
