Position summary: Construction and Sales Administrator assists the construction manager with all necessary functions of implementation of a job from down payment through scheduling, invoicing, warranty, and payment.

·         This person is the main customer and sales interface for scheduling.

·         Works with customers and builder superintendents to make sure the job is ready.

·         Works with purchasing to make sure materials, for job, have been procured.

·         Processes permits for irrigation and landscapes.

o   Updates municipalities with certificates of insurance

o   Creates Purchase Orders by job for the permits.

·         Processes dispatch paperwork for construction manager to dispatch crews.

·         Processes service jobs by interfacing with customer for contract, work order and billing.

·         Coordinate back flow inspections with third party vendor.

o   Request back flow report.

o   Upload to city website

o   Request Final

o   Process invoice from third party vendor. 

This job, in many cases, will be the first contact for customers, builders and Superintendents to call with delays and it will be the responsibility of this job to make sure all involved with the installation are notified of the delay: Construction Manager, grass division, sales and purchasing.  If the delay is internal, it will be necessary to contact the customer to let them know about the delay. 

 Daily Activities

 

·         Receive and return calls and emails.

·         Schedules all service calls

o   Email service agreements to customers.

o   Creates Work Orders

o   Generate Purchase Order for service parts.

o   Creates Routes for service technician.

o   Invoices and collects for service call once complete.

·         Process dispatch paperwork for next day dispatch.

·         Process grass orders for the next day and possibly two or three days in advance.

·         Review time sheets from prior day and get them to payroll for data entry.

·         Process permits necessary for upcoming jobs.

·         Generate Bulk Material ticket for next day material needs (dump truck) and possibly two or three days in advance.

·         General filing

·         Irrigation drawings and lamination for presentation to customer post installation.

Other Activities 

·         Assist sales with scheduling, work orders, invoicing, and collections.

·         Assist purchasing with PO’s, bulk material tickets and Purchase Pull Reports

·         Work on special projects for or with owners, construction manager, sales and purchasing.

·         Assist front counter with incoming calls during peak seasons.

 

Compensation

$15 to $25 per hour depending on experience.

 

Hours

This is an hourly position.  The job parameter is eight hours daily with a one-hour lunch.  Construction hours are 6:00 AM to 6:00 PM Plus, business hours are 8:00 AM to 5:30 PM
