About the Client:

Express Employment is partnering with a private equine referral and emergency hospital located in Shasta County.  The doctors are highly specialized and have a passion for diagnostics and treatment of their clients’ horses in Northern California and the surrounding areas. 


About the Position:

We are seeking candidates for the position of Front Office Coordinator/Administrative Assistant.  This key position in the clinic requires the candidate to coordinate, in a highly collaborative role, to serve the needs of the client, along with working together as a team member with the doctors and vet technicians.  The doctor/owner will rely on your ability to keep things organized and running smoothly.  You will become a valued and respected part of the team while you are contributing to an environment where there will always be horses in need of help.

We are looking for a person with strong communication skills and experience running a front office; while answering phones, scheduling appointments, greeting clients, professional and courteous customer service, manage check in and check out/ discharge procedures, processing payment and invoicing, following protocols on daily tasks in an efficient and reliable manner, and much more.

Since you will be the first point of communication with clients when they call in for veterinary care, it will be important that you understand what they are explaining about the horse’s condition and problem.  Possibly, the parts of the horse and types of injuries and ailments can be learned, as well as the ability to ask the kind of questions to help the doctor know what type of appointment to prepare for and how much time will be needed to schedule.  Horse knowledge and experience is optimal but not necessary if you are a quick learner.


Job Description/ Responsibilities:

1.    Greet clients and visitors in a courteous and professional manner.
2.    Answer phone calls, schedule appointments, and manage the clinics’ appointment calendar.
3.    Maintain electronic and paper records accurately and confidentially.
4.    Coordinate communication between clients and veterinary staff.
5.    Manage incoming and outgoing mail and email correspondence.
6.    Ensure the reception area is clean, organized, and stocked with necessary supplies.
7.    Assist with basic administrative tasks such as filing, data entry, and billing.
8.    Provide general information to clients regarding clinic services, policies, and procedures.
9.    Collaborate with other team members to ensure the highest standard of patient care.
10.  Take detailed messages and gather all important and relevant information.


Qualifications:

1.    High school diploma or equivalent required.
2.    Previous experience in an office setting is required preferably 2+ years.
3.    Previous experience and knowledge of horses is preferred.
4.    Knowledge of equine care and terminology is advantageous; willingness to learn is essential.
5.    Excellent communication skills, both verbal and written.
6.    Strong organizational skills and attention to detail.
7.    Proficiency in using computers and basic office software.
8.    Ability to multitask and work effectively in a fast-paced environment.
9.    Compassionate and empathetic attitude towards clients and their animals in stressful situations.
10.  Ability to learn new software and keep medical records.
11.  Open to learning new skills and adapting to positive working relationships.
12.  Takes initiative and helps others.
13.  Team player, willing and able to anticipate and assist in clinic work-flow, set up, cleaning, and procedure preparation as needed.
14.   Pre-employment screenings required.
15.   Employment and personal references required.


Shift:

Monday-Friday 8 am to 5 pm with a potential for overtime when/if necessary.


Compensation:

$17.50-$20.00 per hour depending on experience and skill set.
