Responsibilities: 

  • Fire Marshal communication regarding tagged systems from, inspections, and service calls.
  • Following up with cities when information is incorrect in their city databases for backflows.
  • Monitoring contracts for current and potential customers, answering questions about our services and different breakdowns on contracts.
  • Tracking newly monitored accounts or properties about to turn over (via Monday.com and Southwest).
  • Cancelling monitored accounts per property request.
  • Updating property priority contact information with Southwest.
  • Tracking down contact information if unavailable through our systems.
  • Updating contact information in QuickBooks/ service trade.
  • Getting contact information from turned over properties from construction.
  • Maintaining contact sheet for monitored clients/property management changes in server.
  • Loading Backflow paperwork in server sent in from technicians.
  • Backflow registrations and all technician License renewals/transfers.
  • Obtaining COI’s for properties or city entities.
  • Scanning and filing documents.
  • Mailing documents, if/when needed.
  • Tracking down information on service jobs completed by construction crews (during freeze or emergency situations and ideally needs to be done by someone who speaks Spanish).
  • Updating all customer folders to include 2024 so that things can be saved in appropriate folders.
  • Assisting with obtaining permits for jobs and projects.

Requirements:

  • Must have over 4 years of administrative experience in the industrial or fire alarm industry. 
  • Must have strong communication and problem solving skills
  • Must be proficient with Microsoft Excel
