Hours: 8:00AM-5:00PM Monday-Friday

Pay: $25.00-$30.00per hour

 

 

As the Office Manager, you''ll be at the heart of our operations, ensuring seamless functioning and efficiency within our office. With your knack for organization, proficiency in bookkeeping, scheduling finesse, and mastery of Microsoft Office tools, you''ll bolster our team of technicians and management in delivering top-tier cleaning and restoration services to our clientele. Your role will encompass overseeing office administration, financial tasks, scheduling, and maintaining meticulous records and documentation.

 

Key Responsibilities:

 

Office Management:

  • Spearhead day-to-day office operations, handling correspondence, mail, and office supplies with finesse.
  • Establish and maintain a streamlined filing system for documents, contracts, and records to facilitate easy retrieval.
  • Coordinate maintenance and repairs for office equipment, liaising with relevant service providers for optimal functionality.
  • Cultivate a welcoming and organized office environment, fostering professionalism and productivity among staff.

Bookkeeping:

  • Execute various bookkeeping duties, including invoicing, managing accounts receivable and accounts payable.
  • Uphold precise financial records and documentation using suitable software and tools.
  • Conduct regular reconciliations of financial statements, bank statements, and credit card statements.
  • Assist in generating financial reports, budgets, and forecasts as necessary.

Scheduling:

  • Efficiently coordinate and manage technician schedules and appointments to maximize operational efficiency.
  • Ensure seamless communication between technicians and customers, overseeing customer appointments with precision.
  • Maintain and update the scheduling system promptly to reflect any changes or cancellations.
  • Collaborate with the operations team to ensure adequate staffing and resources for each project.

Administrative Support:

  • Provide invaluable administrative support to the management team, managing calendars, coordinating meetings, and arranging travel.
  • Assist in crafting presentations, reports, and documents using Microsoft Office applications.
  • Prepare and disseminate internal communications, memos, and company-wide announcements.
  • Deliver exceptional customer service, handling inquiries, and redirecting calls appropriately.

Qualifications:

  • Proven experience in office management or similar administrative role.
  • Proficiency in bookkeeping with a solid grasp of various bookkeeping software.
  • Advanced skills in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Exceptional organizational prowess and time-management abilities, adept at prioritizing tasks.
  • Strong communication skills, both written and verbal.
  • Impeccable attention to detail and accuracy in record-keeping and financial tasks.
  • Ability to handle confidential information with integrity and discretion.
  • Experience in scheduling and appointment coordination is advantageous.
