Executive Administrative Assistant / Chief of Staff | Evaluation Hire | $73,000 I Newark, NJ 

 

Job Description: 

Our client in Newark, NJ is looking for a Chief of Staff. This is an evaluation to hire position. 

Reporting directly to the CEO, the Chief of Staff directs internal excellence, fosters a positive workplace culture, and resolves challenges collaboratively. This pivotal role requires adept problem-solving, teamwork, and adaptability in a fast-paced environment, while also representing the CEO internally and externally to enhance organizational effectiveness. 

  

 

Responsibilities: 

  • The Chief of Staff will report directly to the President/ CEO. This position will own cross-functional initiatives that span the entire organization, provide leverage to our CEO and leadership team, help drive new processes and operations, and take on key strategic initiatives. The Chief of Staff will be responsible for handling internal communications as well as representing the CEO to all manner of external parties including but not limited to clients, collaborators, and new business leads. This position requires a hands on, self-motivated, smart and emotionally intelligent individual who thrives in a fast-moving, dynamic environment within a complex and fast-changing industry. The Chief of Staff anticipates needs and demands and works to provide logical, innovative, and creative solutions without explicit instruction. All employees are responsible for practicing good risk management, quality assurance, and delivering excellent internal and external customer service. Manages billing of materials. 

 

Skills: 

  • Represent CEO/President in meetings, by email, and phone calls with internal and external stakeholders. As well as taking notes and assuming responsibility for completion of action items. 

  • Participate with the CEO/President and senior management team in strategic planning, policy development, and decision-making. 

  • Prepare and brief CEO on materials required for their daily schedule. 

  • Manage and drafts letters, emails, reports, and other correspondence on behalf of the CEO/President that are highly sensitive and confidential. 

  • Schedule, contact and calendar maintenance. 

  • Manage the CEO/Presidents administrative needs, calendar and prioritizes their time and schedule to ensure their time is effectively allocated. 

 

Qualifications: 

  • Public health background – Understanding health care – Writing of proposals, understands fundraising. 

  • Bachelor’s degree in business administration, finance, journalism, social sciences, or a related field. 

  • Three years in a business or executive management role. 

  • Experience in community relations including marketing and public relations. 

  • Highly experienced with Excel or Google Sheets for reporting analytics 

  • Knowledge of fundraising information sources 

  • Experience with proposal writing. 

  • Ability to work a flexible schedule. 

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedure manuals. 

  • Ability to write reports, business correspondence, and procedure manuals. 

  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public. 

  • Excellent communicator in written and verbal form. 

 

Job Type: Full-time- On-site 

  • Minimum 40 hours per week 

  • Ability to work on weekends (Saturdays or Sundays) 

  • Ability to work on a rotating shift schedule 

  • Overtime, and standby status may be required at times to meet operational and patient care needs 

  • Ability to work at various sites (all site locations are in Essex County) 

 

Salary: $73,000
