Express Employment professionals is looking for a detail-oriented, hardworking Office Manager. It will be a great opportunity for someone who enjoys working in a smaller environment and is passionate about their work.

The Office Manager is responsible for the daily office activities such as reception, management of office supplies, accurate processing of accounts receivable, accounts payable, payroll, general administration of employee health & wellness benefit plans, and will assist in employee recruiting and retention efforts. The Office Manager position is fast paced requiring a high degree of discretion and confidentiality. This position also serves as the initial point of contact for employee inquiries and will provide support and resolution regarding payroll and benefits-related questions for all employees. The Office Manager may assist in the coordination of Company benefits and other matters.

ESSENTIAL DUTIES and RESPONSIBILITIES

·         Office management – reception, office supplies, etc.

·         Accounts receivable.

·         Accounts payable.

·         Payroll, accurately and timely process payroll for all employees through Paylocity.

·         Set up and maintain employment files ensuring accuracy, compliance, and confidentiality.

·         Assist team members with payroll and benefit related questions; troubleshoot issues as needed.

·         Provide education and coaching to employees and team leads relating to payroll, time reporting, benefits, and Company policies.

·         Process any court, state, and federal payroll and/or verifications.

·         Prepare reports and analysis of requested employment data.

·         Serve as the primary focal point for the administration of medical, dental, vision, voluntary and other benefits for active employees.

·         Provide assistance in the 401(k) enrollment and process.

·         Reconcile insurance carrier invoices.

·         Assist with recruiting, interviewing, and onboarding, including job postings and manage candidates including extending offers, initiating pre-employment background checks, processing hires, and contacting candidates not selected.

·         Maintain team member’s performance management system, notifying managers of review due dates, tracking timely completion of annual reviews, and preparing appropriate delinquent reports.

·         Provide HR support in the areas of employee relations, legal compliance, policies, and procedure development.

·         Participate in the review and development of Company policy and procedures.

·         Track and maintain employee status – new hires, terminations, transfers, and benefit changes.

·         Complete all verification of employment.

·         Perform other duties as assigned.

 

The successful candidate will, ideally possess meet of the following requirements:

·         Bilingual in English and Spanish is a plus.

·         3+ years of experience in an office role, administering accounting functions, payroll and health and welfare benefit programs preferred.

·         Strong knowledge of web-based payroll products – Paylocity experience is a plus.

·         Self-motivated and flexible with an ability to work independently.

·         High level of commitment/sound work ethic and discretion.

·         Knowledge of payrolls and taxes affiliated with them.

·         Ability to work under and meet tight processing schedule deadlines, with frequent interruptions.

·         Strong interpersonal skills and ability to interface diplomatically with all levels of employees and management.

·         Excellent communication, customer service and organizational skills with extreme attention to detail.

·         A willingness to learn new skills, adapt to organizational changes, and take on new responsibilities.
