Salary: $50,000 - $55,000

Our client, a reputable not-for-profit organization located in the downtown core, is looking for an experienced Administrative Assistant to join their team. This position will be in-office.

Duties may include, but are not limited to:

  • Provide day to day administrative support to the SVP, Corporate Services and assists the Executive Assistant to the CEO or other SVPs
  • Assist with logistical arrangements for members’ meetings, including preparation of materials for meeting kits, name tags, booking speaker travel, furniture rental, etc.
  • Back up to other Administrative Assistants as required
  • Assist in keeping track of member fee payments, ensuring letters and receipts are sent and following up on payments
  • Maintain the Minute Books 
  • Assist in tracking the CEO’s expenses and the corporate Visa
  • Back up on changes to the membership in the database
    Prepare and reconcile expense claims and schedules meetings and travel
  • Other duties as requested by the SVP

Required skills and qualifications:

  • 2+ years’ experience as an Administrative Assistant, preferably supporting an executive
  • Excellent organization and prioritization skills
  • Strong written and oral communication – English (Will be tested)
  • Technically and technologically competent, especially with electronic and virtual meeting platforms
  • Autonomous
  • Strong problem solving and critical thinking skills 
  • Keen attention to detail – will be required to update membership lists
  • Team player attitude who will support the operations wherever needed
  • Demonstrate a high degree of professionalism and discretion; maintain confidentiality
  • Must be comfortable working in-office

Monday to Friday – 9:00am to 5:00pm

Salary: $50,000 - $55,000 per year
