Job Summary:

As a Purchasing Assistant, you will play a vital role in supporting the procurement team in acquiring goods and services necessary for the operations. You will be responsible for various administrative tasks, data entry, vendor communication, and documentation to ensure the smooth and efficient functioning of our purchasing department.

 

Key Responsibilities:

  1. **Vendor Communication:** Act as a primary point of contact for vendors, including handling inquiries, requesting quotes, and negotiating terms and prices.
  2. **Purchase Order Processing:** Create and maintain purchase orders in accordance with company policies and procedures.
  3. **Inventory Management:** Monitor and maintain inventory levels, track stock levels, and coordinate with suppliers to replenish stock as needed.
  4. **Data Entry:** Accurately input and maintain procurement-related data in the company''s systems and databases.
  5. **Documentation:** Organize and maintain procurement records, including contracts, agreements, and invoices.
  6. **Cost Analysis:** Assist in analyzing pricing and supplier performance data to identify cost-saving opportunities.
  7. **Quality Assurance:** Collaborate with quality control teams to ensure purchased goods meet quality standards.
  8. **Reporting:** Prepare regular reports on purchasing activities, costs, and trends for management review.
  9. **Administrative Support:** Provide administrative assistance to the procurement team, such as scheduling meetings, filing documents, and managing correspondence.
  10. **Compliance:** Ensure compliance with company policies, industry regulations, and best practices in procurement.

 

Qualifications:

- High school diploma or equivalent; associate''s or bachelor''s degree in business, supply chain, or related field preferred.

- Proven experience as a purchasing assistant, procurement clerk, or in a similar role is a plus.

- Proven experience as an administrative or executive assistant with strong attention to detail.

- Proficiency in Microsoft Office Suite, particularly Excel and Word.

- Strong organizational and time-management skills.

- Excellent written and verbal communication skills.

- Attention to detail and accuracy.

- Ability to work independently and as part of a team.

- Knowledge of procurement software or ERP systems is a plus.
