We are currently seeking a highly organized and experienced Bilingual Front Office Coordinator to join our dynamic team. The ideal candidate will be fluent in both English and Spanish, possess excellent communication skills, and have previous experience in front office coordination or administration. As the first point of contact for our organization, the Front Office Coordinator plays a crucial role in providing exceptional customer service, managing administrative tasks, and ensuring the smooth operation of the front office.

Responsibilities:

1. Customer Service:
   - Serve as the primary point of contact for visitors, clients, and employees, providing a welcoming and professional atmosphere.
   - Answer and direct phone calls, emails, and inquiries in a courteous and timely manner.

2. Language Proficiency:
   - Utilize bilingual skills to effectively communicate with clients, visitors, and team members in both English and Spanish.

3. Appointment Scheduling:
   - Coordinate and schedule appointments, meetings, and conference room bookings.

4. Visitor Management:
   - Greet and assist visitors, ensuring a positive and professional experience.
   - Manage visitor sign-in and security procedures.

5. Administrative Support:
   - Provide administrative support to various departments, including handling mail, managing office supplies, and assisting with document preparation.

6. Data Entry:
   - Accurately enter and update information in databases and maintain organized records.

7. Multitasking:
   - Manage multiple tasks simultaneously and prioritize workload to ensure efficient front office operations.

8. Collaboration:
   - Collaborate with other departments to facilitate effective communication and information flow.

9. Problem-Solving:
   - Address and resolve inquiries or issues promptly and effectively.

10. Office Maintenance:
    - Ensure the cleanliness and orderliness of the front office area.
    - Report and coordinate maintenance or repair needs.

11. Language Translation:
    - Provide translation assistance when needed for documents, meetings, or communications.

12. Meeting Coordination:
    - Assist in the coordination of meetings, including room setup, audiovisual equipment, and catering arrangements.

Requirements:

- Previous experience as a Front Office Coordinator or in a similar administrative role.
- Fluency in both English and Spanish.
- Strong communication skills, both verbal and written.
- Excellent organizational and multitasking abilities.
- Proficient in using office software (e.g., Microsoft Office Suite).
- Professional and friendly demeanor.
- Ability to handle sensitive information with confidentiality.
- Problem-solving skills and attention to detail.
- Previous experience in a bilingual environment is a plus.
