Job Summary:

Duties/Responsibilities: 

  • Maintain accurate and up-to-date records, files, and documents related to government activities, transactions, and communications.
  •  Input, update, and retrieve data from various computer systems and databases. This may include entering information from paper documents into electronic formats.
  • Manage incoming and outgoing correspondence, including emails, letters, and phone calls. Ensure proper routing and filing of communications.
  • Organize and file physical and electronic documents for easy retrieval. Create and maintain filing systems to ensure efficient record management.
  • Assist visitors, clients, or constituents with inquiries, providing information or directing them to the appropriate department or personnel.
  • Schedule appointments, meetings, and events for office personnel. Coordinate logistics and ensure resources are available as needed.
  •  Monitor and order office supplies, ensuring that there are sufficient materials for day-to-day operations.
  • Provide administrative assistance to office staff, such as preparing reports, memos, and presentations, and handling administrative tasks as assigned.
  • Assist in the processing of various forms and applications, ensuring accuracy and completeness.
  • Ensure that all administrative processes and procedures comply with relevant government regulations and policies.

Skills/Qualifications: 

  • Clear and effective written and verbal communication skills are essential for dealing with colleagues, superiors, and the public.
  • Familiarity with office software (e.g., Microsoft Office Suite), data entry skills, and the ability to learn new software applications quickly.
  •  Ability to manage and prioritize multiple tasks and responsibilities, maintain records, and keep the workspace organized.
  • Thoroughness and accuracy in record-keeping, data entry, and document preparation.
  • Ability to interact courteously and professionally with visitors, clients, and colleagues.
  • Efficiently manage time to meet deadlines and complete tasks in a timely manner.
  • Ability to adapt to changing priorities and tasks in a dynamic government office environment.
  • Handle sensitive information with discretion and maintain a high level of ethical conduct.
  • Ability to identify issues and find solutions, often in collaboration with other office staff.
  • Familiarity with government processes, policies, and regulations can be an asset.
