Job Title: Executive Assistant

Job SummaryThe executive assistant will provide administrative support to the president of a non-profit organization in Pittsburgh, PA. to ensures all timelines, deadlines, and priorities are met; and acts as a communication liaison between the president and the staff.

Job Duties:

  • Maintain the president’s calendar and schedule all meetings, speaking requests, work appointments as well as some personal appointments and maintain records of those appointments.
  • Manage bookings and travel records for all travel (flights, hotels, car rentals) for the president.
  • Collaborate with Executive Office project manager on any international travel/events overseas. 
  • Collect receipts and complete expense reports. 
  • Support president in Capacity Campaign efforts 
  • Manage all email communications as well as draft correspondence for internal and external stakeholders. 
  • Assist with development efforts, including compiling donor information into spreadsheets, drafting donor communications, and scheduling development trips.
  • Assist with developing annual staff training schedule, including coordinating trainers, setting up training rooms, running PowerPoints, and ordering food for applicable staff meetings, staff-wide trainings, and events. 
  • Prepare monthly Director’s Meetings agendas, including recording detailed notes and action items from these meetings.
  • Maintain task lists and project timelines for ongoing projects. 
  • Support the President in preparing and editing talks and sermons for organizational events. 
  • Complete transcriptions, research, and PowerPoints for sermon preparation for the president
  • Be available to assist the president and Executive Office staff with any additional research and/or special projects as requested.
  • Support the president with personal matters upon request (i.e., personal travel plans, family matters, etc.) 
  • Prepare the annual Christmas card mailing list. 
  • Assist with staff meetings, volunteer training, and special events. Participate and assist with organizational events. 
  • Collaborate with Exec. Office Project Manager to update staff-wide calendar.

ScheduleMonday - Friday; 8:00am -5:00pm

Pay Rate$20.00- $25.00/hr. 

Qualifications:

  • Bachelor’s degree or equivalent experience
  • Advanced skill in Microsoft Word, Excel, Outlook and PowerPoint
  • Exceptional office technology skills, including implementing and trouble-shooting various office equipment and devices.
  • Excellent communication skills, strong attention to detail, organization skills, and ability to work well under pressure.
  • Team player and possess a servant’s heart as well as the attributes of discretion, professionalism, flexibility, adaptability, and kindness to others.
  • Ability to work well in a non-structured environment.
  • National and state clearances will be required.
