Express Employment Professionals is looking for a highly organized and detail-oriented Administrative Assistant to keep the office running smoothly and efficiently. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Daily and Weekly Responsibilities:
- Manage a large volume of inbound and outbound calls, emails, and chats with knowledge and efficiency
- Identify and address customer needs with a goal of complete satisfaction
- Follow company communications guidelines and procedures under minimal supervision
- Research information using available resources to satisfy customer inquiries
- Build rapport with customers by engaging with them in an inviting, friendly, and professional manner, to deliver exceptional experiences nurture lasting relationships
- Respond quickly, professionally, and accurately to all customer inquiries regarding quotes, orders, status requests, complaints, product returns, and warranties
- Sorts and distributes mail. Opens mail for the office. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Orders/purchases office supplies and postal supplies, as needed
- Orders staff meeting lunches
- Assists with additional bookkeeping tasks when time permits or situation necessitates
- Assists with routine office maintenance, as necessary (e.g. copier repair calls, coffee maker maintenance, sanitizing work areas, reminding staff to clean out fridge, organizing supply closet)
- All other duties as assigned
Skills and Qualifications:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
