Accounts Payable Associate Job Summary:

A dynamic company based in NW Grand Rapids is seeking a part-time Accounts Payable Associate to support our finance team with daily accounting tasks. This position is ideal for someone looking for a flexible work environment while contributing to a collaborative team. The Accounts Payable Associate will be responsible for processing vendor invoices, ensuring accuracy in financial reporting, and assisting with month-end and year-end closing activities.

Accounts Payable Associate Responsibilities:

  • Enter vendor invoices into the accounting system with a focus on accuracy and timeliness.
  • Match material invoices with purchase order receipts in the accounting system.
  • Reconcile checks with corresponding invoices.
  • Review and process expense reports, ensuring proper coding and timely payments.
  • Monitor and resolve unmatched amounts in unvouchered accounts.
  • Collaborate with the Purchasing department to address and resolve pricing discrepancies.
  • Assist with month-end and year-end closing processes, ensuring all financial data is accurate and complete.
  • Conduct account reconciliations to maintain financial integrity.
  • Organize and file accounts payable documents, including entered and paid invoices.
  • Provide support at the front desk and handle phone inquiries during staff vacations.
  • Assist with year-end duties, including 1099 processing and filing and physical inventory.

Schedule: Part-time, 20 hours per week with flexible, on-site schedule.

Pay: $18-$20/hr., Based on Experience

Accounts Payable Associate Qualifications:

  • 2-3 years of college education preferred, with a focus on accounting or finance.
  • Must have a bias for action and a proactive approach to resolving issues.
  • Knowledge of purchasing practices and procedures, particularly in a manufacturing environment (HVAC experience is a plus).
  • Strong analytical skills with a solid understanding of purchasing and manufacturing processes.
  • Proficient in Microsoft Office applications, as well as general internet and email use.
  • Excellent verbal and written communication skills, with an emphasis on professionalism.
  • Ability to build and maintain effective working relationships across departments.
  • Dependable and punctual, with proficient time management skills.
  • Strong initiative and problem-solving abilities in a fast-paced environment.
